What Is An Email List?

Here are just a few definitions of an email list. . .

Join one of these to exchange messages on a particular topic of interest with like-minded people. Messages can come to you individually or in groups called digests. Some lists are open so anyone can join, others are closed and only invitees can join.

A way of having a group discussion by electronic mail. Also used to distribute announcements to a large number of people. An email list is very much like a conference on a bulletin board system, except the conversation comes to you in your e-mail box. Each time you or any member of the list posts a reply to the conversation, it is distributed to the e-mail box of every member of the email list. ...

A list of email addresses, usually of a group of people who use email to hold discussions about pre-determined topics or areas of interest. When one user sends an email to the list, each member receives a copy and may choose to read, respond, or ignore that message.

Electronic email lists are a special usage of email that allows for widespread distribution of information to many Internet users. Software is installed on a computer which processes incoming email messages, and, depending on their content, either acts on them internally or distributes the message to all users subscribed to the mailing list.

What Is An Opt In Email List?

An opt in email list refers to promotional or informational emails that have been requested by the individual receiving them. Unlike spam promotional emails that get sent out to large lists of recipients without regard to whether or not they want the information, opt in emails are only sent to people who specifically request them.

Opt in emails are targeted and often personalized and carry information about specific topics or promotions that users are interested in learning about.

Typical opt in emails contain newsletters, product information or special promotional offers. For example, if a user frequented a Web site that sold books and music online, that user could "opt in" to receive announcements when his favorite author or musician released new material. The promotional email may even present the recipient with a special promotional offer to purchase the product at a discount available only to those on that particular opt in email list.

Spammers, however, have found a way to use the opt in feature to their advantage. Spam emails often come with opt in features in fine print or obscured somewhere in the body of the email with text that reads something to the effect of "Failure to respond to this email will automatically opt in the recipient to future mailings." The strategy of responding to the spam and asking to be removed from future mailings also has critics, as some claim that responding to a spam email with a request to be removed from the email list signals that the email address is a working address and the address can then be passed on to other spammers.

Never, ever, ever Spam.


Basic Rules For Email List Marketing

Email Rule Number One: Never, Ever, Ever, SPAM.
Most likely, you’ve received SPAM, or unsolicited email, at some point (it seems to start just hours after creating your first email account). You may have even considered sending out a nice, friendly email to some of your customers, to let them know about your latest product or discount, and wondered if this is okay.

But if they have not given you PERMISSION to email them, it’s SPAM. And that nice little email could get you into a lot of trouble (even if it’s just to a few people), and can create a very negative impression of you and your email list marketing methods.

You should be aware that SPAM is illegal in over 18 states in the USA (as in if you are caught in California and Washington, to name two, they can bar you from your server and fine you large amounts). In addition, legislation is before Congress to create federal anti-spam legislation. And if you get added to a SPAM "blacklist", your email address will be automatically filtered from major ISP servers, and your mail will never get delivered. Plus your ISP will terminate your service.

But most importantly for those of us working in email list marketing, SPAM does not accomplish what you want: If you target interested consumers, then your response rates will be much, much higher. If you are sending emails to people who have indicated that they want to receive your information.

Email Rule Number Two: Collect Addresses in a Responsible Manner
While SPAM does not work, opt-in emails do. These are email marketing lists created because the client asked to be added to the list. But there are methods that are considered ethical and responsible for collecting email addresses, and others that are not. Be ethical, and use permission marketing techniques (your customers ask to be added to a list, or willingly give you their email address in return for a service you provide them with, and for which you indicate that they will receive regular emails). Your customers will appreciate it, and you’ll see much better response rates and fewer angry letters and SPAM warnings.

Never, ever "harvest" email addresses, which is the opposite of permission mail lists. In addition to being unethical, it just doesn’t work. Harvested email marketing lists normally generate a clickthrough rate of less than 0.01%, which are abysmal, in addition to all of the negative perceptions and problems it causes.

And please, offer those on your list (that they opted into) the option of unsubscribing from your email marketing list. While we all hate to lose email clients, you will have the assurance that those who are on your list are there because they want to be, and are not deleting your emails before they even open them.

Email Rule Number Three: Provide Contact Information
When people read your emails, they may have questions, concerns, or want to tell you how great your emails are. They may even want to learn more about your products or services. They can not do this if you do not provide contact information in the email, since hitting the reply button in some cases sends the email back to a list server address.

Let people know who you are. It’s good business practice, and reassures them that you are a real, ethical, responsible business person that they want to do business with. When you provide them with a clear email address or phone number that they can reach you at in each of your email communications, you are establishing your reliability.

Email Rule Number Four: Provide a Link to Your Web Site
If it was not so sad, it would be funny how many people forget email marketing list basics when they send out their emails, letting them know about their great online product or service. We think letter and forget marketing. Remember the real purpose of email marketing was discussed above: to bring people to your web site, where you can sell to them. Include a clear link to your web site in each and every email communication that you send out, even if it’s a customer survey.

This way, you are giving potential customers a chance to contact you, and learn more. And encourage them to do this, make your link entice them a bit. Instead of a plain link, why not say, "See our newest products" or "View our discounts available only this week" for your link. Of course, you can also use the word "free" to get them to contact you: "click here to see our FREE ebook (or newsletter, or software download).

Email Rule Number Five: Use Good Grammar
Have you ever received an email advertisement or newsletter that was poorly done, or contained numerous grammar errors? What did you think of the firm that created it? Email communications can be an important method of increasing customer loyalty, or creating the perception that others have of your online business. That image in their mind will rise or fall based on the quality of your communications.

If you are not a good writer, or are unsure how to create clear, legible email communications, consider hiring a professional to assist you. Your customers will notice the difference, and your business will be perceived as extremely professional (they do not need to know that you work out of your home office, and are working in your shorts and slippers, they will see the polished, quality emails you send out and place you mentally with the real pros).

Email Rule Number Six: Be Honest In Your Communications
Have you ever received an email with a header that stated, "About what we discussed the other day…" Thinking that a friend had changed their email address, you clicked on the mail, only to be greeted by SPAM. The sense of betrayal and anger are remembered long after the email is closed and deleted, and I doubt that emails that use "gorilla marketing tactics" like this have much success, or positive perception from customers.

Honesty is the best policy with email marketing lists, including headlines. Don’t trick customers into opening your emails, instead, get them curious, or state clearly a benefit that your email will provide them with, then deliver it in your email.

This creates a "win-win" situation: they receive real, honest help, and you maintain positive contact with your customers.

Email Rule Number Seven: Be Polite
Which message would you rather hear: "BUY NOW AND MAKE LOTS OF MONEY!!!" or "Here are some helpful car maintenance tips that will help you get extra gas mileage." The first uses capital letters and exclamation points (considered "shouting" online) along with a highly unrealistic promise that insults the intelligence of most readers. While there is a place for sales copy, the second is more likely to get customers to click and open it, since it offers them a real benefit directed towards a real need with today’s high gas prices. The fact that after highly helpful tips, it includes an ad for tune-up services at a national chain does not annoy those who read it, since they have learned how tune-ups can help them get better gas mileage in the article they read.

Be polite, and offer your customers a real benefit for reading your emails to them. You may even get grateful mail back in return (and win a new loyal customer!)

Thank your customers for asking for more information in your autoresponders. Let them know that you appreciate them, and that providing them with outstanding client service is your top goal.

Treat them the way you would like to be treated, and you’ll see increased response rates.

Courtesy is at times a forgotten art in our busy, rushed society today. Treating those you email as real human beings, and giving them a refreshing dose of courteous, polite behavior will be remembered long after they close the email.

No matter how tempting it may seem to buy a bulk email list and broadcast email to thousands, it is a trap. And it only takes one message to shut your site down. # You are the liable party. The USER of a bulk email list is the one liable for damages that result. And there is now legislation against sending unsolicited email.

It really is easy to keep out of trouble, just DO NOT ever email anyone without their permission. And never trust a company that sells email addresses. If you think there is a chance that the addresses are truly opt in (and it would be a rare instance) then ask for a list of satisfied advertisers BEFORE you buy the list. Contact each and every one of them and ask about their results using the bulk email list.

And definitely ask the company selling the targeted addresses exactly HOW they built the list. If they say that the list members opted in to the list then ask them if they realized that the list was going to be sold. You would be hard-pressed to get 100 email addresses to opt in to a list that was going to be sold over and over, let alone 30,000 or a million. After all, would YOU offer your email address to a company that told you up front, that they were going to sell your address over and over again. No, I didn't think so.

The fact is, when it comes to marketing with email your very best bet is to build YOUR OWN email lists. You can do this by offering free reports, email newsletters, email courses, downloadable ebooks, shareware, or anything else that contains valuable information related to your area of expertise. While you do want your customers to take you and your products and services seriously, you also want to show them that you know how to have fun.


Splash some color in your emails as well as provide some photos and articles that can be related to you but show good news or good light hearted images as well. Provide a newsletter or promotional material that will keep them in a light mood.

Make your materials eye catching and grabbing that they wont be able to take their eyes of them. Pique their interests.
Have good content and article, even if it means investing in an experienced and professional copy writer to write them for you. An effective copy writer should be able to build trust between you and your customers. They should be able to establish your credibility in what they write. It must be informative but not too stuffy. Let go of the professional jargons and “talk“to your recipients.


A good article and content should be able to outline the benefits of your product and services to your subscribers, and inform them of why they need what you are offering. But do not look to be overeager and too persuasive. It should be able to entertain as well as lead them to buying from you.


Your promotional materials should be clear. Do not leave people guessing. You should lead them to you and not vice versa. Explain to them what they need to do in a manner that will not be confusing. Try to anticipate also what your target client needs. Do your research and information gathering, many sites will be able to help you with that.


Provide clear and crisp images of what you are offering. If the people know what you have for them, they are more likely to beg for more. For example, if you are selling a car, provide them photos but only enough to encourage them to go to your site for more.

Direct Mail Collection
Think about how much time and money you spent on direct mail to your various address lists. To date, most requests for email address information have been pushed, shoved, or jammed into whatever white space remains. So if your regularly send promotional material to regular mailing addresses, ask them to join your email address list.


To improve on these efforts, you need to provide your members with a reason to release their email addresses to you. E-newsletters, donation confirmations, petitions, and special discounts and offers are but a few of the benefits that will encourage your members to come on board.


Web Page Collection
Many organizations have an email address collection function in place on their website. What everyone can do to improve their results is to inform their visitors of the special email benefits that they will receive (ie newsletters, freebies, discounted products, etc.) right below the email request box. It may also be useful to create a pop-up link to inform users of those special benefits only available via email. Also, make your email address request form available on your home page, and every other page possible. Do not make your visitors go looking for it. Every click away from your home page reduces the chances of your users taking an action and providing you with their email address information.


Existing Email Database Collection
Do not forget to ask the members of your existing subscriber base for email addresses of their friends, family, and associates. Viral marketing is a powerful tool to use and is extremely cost effective. You could ask them to provide you with additional addresses or simply to pass on your newsletter, or other information to others that they feel has similar interests.

By adding a simple signature to every email you send, or including a signature file in every forum you post to, you will gain extra subscribers for the minimum of effort.

Don't pester people on an email list.
Sending email, it seems, is so easy that some people overdo it. If you call a prospect every day, that's pestering, and the same goes for marketing to an email list. Respect people's time and privacy. Don't use the technology to excess because it's there.


Tip #2
Don't be devious or misleading to people on an email list.
Remember, Federal laws prohibits marketing e-mail messages that are deceiving or misleading. The subject line should not make the recipient think he or she is getting something he or she is not. Obviously, determining what's misleading is a judgment call, so use your best judgment when marketing to an email list. If you dislike getting direct mail that looks suspiciously like a bill or an IRS notice, avoid using similar deceptive tactics in your email marketing campaign to an email list.

Don't overburden your recipient on e-mail lists.
Emails that go on and on are tiring to read on the computer and taxing on the attention span. Every email message you send to an email list should give the recipient an easy way to opt out of receiving future emails from you and must be deleted from your email list. And you must honor all such requests to an email list. It is the Law.


Do not try to deceive or fool prospects into thinking your email marketing message is not a promotional message or that is not from a marketer. Email list contains not just email addresses but real people who knows not to do business with deceptive businesses. Do not be misleading or unethical in any of your marketing to an e-mail lists. It is also against the law.
